Job Summary

Provides for the staffing and scheduling of nursing staff for the MVHS Rehabilitation and Nursing Center (RNC), in coordination with the nurse managers and Director of Nursing (DON), to ensure adequate nursing coverage. Coordinates staffing on a projected and shift-by-shift basis. Maintains attendance and payroll tracking records.

Core Job Responsibilities

  • Ensures staffing coverage in all units, 24-hours a day, within the given safe-staffing and budget guidelines. Adjusts staffing assignments appropriately.
  • Prepares and disseminates staff schedules.
  • Maintains the nursing department Payroll Edit Authorization Forms. Reviews for accuracy before submitting to DON or designee for approval.
  • Schedules Paid Time Off per policy while maintaining adequate staffing.
  • Maintains tracking records of staff attendance and schedule changes. Communicates these changes with unit secretaries or designee for entry in the payroll system.
  • Types a wide variety of materials such as correspondence, reports, and records.
  • Acts as a liaison with payroll department to identify all payroll issues. Maintains accurate tracking of eligible special-rate shifts, such as incentive shifts or shift differentials.
  • Reviews updated schedule to determine the relevant staffing holes on individual units.
  • Makes contact with appropriate staff in an attempt to fill the staffing holes that develop over the course of the shift or, proactively, with regards to known future staffing holes when possible.
  • Communicates needs and coordinates scheduling with per diem staffing agency as appropriate.
  • Maintains utmost confidentiality dealing with sensitive data.
  • Creates and manages the float personnel schedule.
  • Maintains phone listing and updates as needed.
  • Handles employee contacts pertaining to scheduling in a professional and courteous manner.
  • Perform other duties as assigned.

Education/Experience Requirements

REQUIRED:

  • High school diploma or equivalent.
  • 2+ years of experience in an administrative position or similar work experience.
  • Excellent communication and interpersonal skills.
  • Highly proficient with MS Office, databases, and the ability to learn new applications rapidly.
